How Applyline handles your information.

Applyline uses your résumé and preferences to find jobs, prepare applications, and send them to the employers you or your searches choose. We don’t sell your information, show you ads, or use analytics or advertising trackers.

Who we are

Applyline (“Applyline”, “we”, “us”) runs the job-search and application service at applyline.ai. We are responsible for the personal information described here. You can reach us at privacy@applyline.ai (address to be confirmed).

What we collect

Your account

  • Your name, email address and a scrambled (hashed) form of your password. We never store the password itself.
  • If you sign in with Google: your name, email address and Google account ID. We don’t keep access to your Google account from sign-in.
  • Optional answers you give us, such as how you heard about Applyline.

Your résumé profiles

  • Résumés you upload (PDF, DOCX or text) and the text we extract from them.
  • Profile details you add or confirm: contact details, address, current job, work history, education, links, work authorization, and job preferences such as roles, locations, salary and companies to exclude.

Optional sensitive information

Employers often ask voluntary self-identification questions. If you choose to, you can save answers such as gender, pronouns, race/ethnicity, sexual orientation, veteran status, disability, and accommodation needs. These are used only to answer those employer questions in the way you choose in your settings (leave blank, decline to answer, or answer as your profile states). They are never sent to our AI provider or used to rank jobs.

Applications and activity

  • Jobs you save or that match your searches, and the tailored résumés, cover letters and answers prepared for them.
  • Answers you ask us to remember for future applications. We never remember consent, certification or signature answers, and we remember self-identification answers only if you separately allow it.
  • A record of each application: approvals, status, the fields submitted, the employer’s confirmation, and screenshots of the employer’s form taken during automated attempts (verification codes are hidden in them).

Messages

  • Email that employers send to your Applyline application address, where your workspace has one, and messages you send from it.
  • If you connect Gmail or Outlook: job-related messages from the last 30 days, and the reply drafts you create (see Email and connected inboxes).

Employer account sign-ins

Some employer sites require an applicant account. Where you use this feature, we store the sign-in email, password and session for those employer accounts, encrypted, so Applyline can sign in to apply for you.

Browser extension

If you install the Applyline browser extension, it keeps your Applyline address and personal access key on your device. When you click Save, it sends the job page’s address, title, company and description to your workspace. When you click Fill, it fetches your contact details to fill in the form in front of you. Its optional job detection runs on your device and sends nothing to us.

Portfolio

If you publish a portfolio, we store what you put on it. It is public only once you publish it (see sharing).

Billing

Paid plans are not live yet. When they launch, payments will be handled by Stripe. We will keep your Stripe customer and subscription references and your allowance history, never your card number.

Technical information

A session cookie to keep you signed in, and your IP address, which we store only in scrambled (hashed) form to limit abuse and delete when the limit window ends. Our hosting provider may keep standard server logs.

How we use it

  • To run your workspace: find and rank jobs for you, prepare application materials, and keep your applications and messages together.
  • To fill in and submit applications to employers you approve, or that your automatic searches choose.
  • To sign you in, keep your account secure, and prevent abuse.
  • To send you account emails and the updates and recommendations you have chosen.
  • To support you, fix problems, and improve the service, using aggregate measures where we can.
  • To meet legal obligations.

We don’t sell your personal information, use it for advertising, or share it with recruiters or job boards.

AI processing

Applyline uses a third-party AI model provider to draft cover letters and answers, suggest résumé improvements, and understand employer forms. The requests are made from our servers; you don’t need your own AI account.

  • What is sent: the job description, your résumé text (including any contact details written in it), the employer’s questions, and your writing preferences. When reading a form, it sees the form’s questions and ordinary answers you have approved.
  • What is never sent: your self-identification and eligibility answers, passwords, verification codes, and employer sign-in details.
  • Provider handling: our requests ask the provider not to store them or pass them to services that keep user data.

Drafts are checked against your résumé, and Applyline is designed never to invent experience. AI can still make mistakes, so please check what is prepared in your name.

Applications sent for you

When you approve an application, or turn on an automatic search, Applyline uses an automated browser on our servers to fill in the employer’s own application form and submit it in your name. The employer receives the information and documents in that application, and handles them under its own privacy notice.

You decide, per search, whether each application waits for your approval or is sent automatically. Applications go only to employers you choose or that match your searches, and never to your current employer automatically. You are responsible for making sure the information sent in your name is accurate. See our Terms.

Email and connected inboxes

  • Emails we send you go through Resend: sign-in codes, email verification and password resets, application updates (on by default; you can unsubscribe), and job recommendations (only if you turn them on).
  • Your Applyline application address, where available, receives employer email through Resend. Applyline reads verification codes from it during an application; codes are never sent to AI.
  • Gmail and Outlook are optional. We read only job-related messages, match them to your applications, and save reply drafts in your mailbox. Applyline never sends email from your Gmail or Outlook account. Reading employer verification codes from Gmail is a separate setting, off by default. You can disconnect at any time.

Cookies

We use only the cookies needed to run the service: a session cookie that keeps you signed in (up to 30 days), and short-lived cookies (about 10 minutes) during email-code sign-in, Google sign-in and beta invitations. We don’t use analytics, advertising or cross-site tracking cookies.

Who we share it with

  • Employers you apply to, through their application forms: the contents of that application only.
  • Service providers that run parts of Applyline for us: our cloud hosting and storage providers, a third-party AI model provider, Resend for email, Google or Microsoft when you connect their services, Stripe for payments once paid plans launch, and job-search services that receive search terms and locations (not your identity).
  • Your concierge, if you choose the Concierge plan once it is available: the person supporting your search works with your profiles and applications.
  • The public, only for a portfolio you publish. It lives at a hard-to-guess link that asks search engines not to index it, and you can unpublish it at any time.
  • When required by law, to protect people or the service, or as part of a merger or sale of Applyline, in which case this policy continues to apply to your information.

Security

Passwords, sessions and access keys are stored only in hashed form. Employer sign-ins, inbox connections and other integration secrets are encrypted (AES-256-GCM). Backups are encrypted before they leave our servers. Connections use HTTPS, and access to production data is limited to the people who operate the service. No system is perfectly secure; if we learn of a breach that affects you, we will tell you as the law requires.

Where data is stored

Applyline is hosted in the United States. If you use it from elsewhere, your information is transferred to and processed in the United States.

Retention and deletion

We keep your information while your account is open. When you delete your account in Settings, we end any subscription and delete your profiles, uploads, applications, screenshots, messages, saved answers and inbox connections.

Some things are kept after deletion:

  • your Applyline application address stays reserved so it is never given to someone else;
  • encrypted backups, until they expire from backup storage;
  • records held by payment and email providers under their own retention rules, and records we must keep by law.

Some records expire sooner: sign-in sessions after 30 days, AI usage records after 90 days, and the note that a Gmail code was used after 30 days.

Your choices and rights

  • Export: Settings → Export my workspace downloads your profiles, applications and receipts, messages, saved answers and activity. Original uploaded files and screenshots aren’t included yet; ask us if you need them.
  • Delete: Settings → Delete your account.
  • Correct: edit your profiles, answers and preferences at any time.
  • Control sending: choose review-first or automatic for each search, pause Auto Apply, and exclude companies.
  • Disconnect: Gmail, Outlook and access keys can be removed from Integrations.
  • Email: unsubscribe from updates and recommendations using the link in each email.

Depending on where you live, you may have further rights, such as to access, correct, delete or object to the use of your information. Email us to use them.

Children

Applyline is not for anyone under 18, and we don’t knowingly collect information from children. If you believe a child has created an account, contact us and we will delete it.

Changes to this policy

We will update this policy as Applyline changes. The date at the top shows the latest version. For material changes we will tell you in the app or by email before they take effect.
